Why is my Dispatch transaction not posting to the correct G/L account?

Overview

When viewing a journal transaction listing, you may see a Dispatch transaction posting to the Cost Of Sales account for the sales order line item. You can view this account by selecting the Line details button under the Item code.

There are two reasons the dispatch transaction might differ from what is displayed on the sales order:

  • The line has been dispatched as part of a Job, which has re-directed the posting.
  • The G/L accounts for a line on the Sales order have been modified after the Dispatch has been processed.

Check that the dispatch has not been redirected by a Job

  1. Navigate to Accounts receivable > Dispatch and search for the relevant dispatch.
  2. Select the Job code listed in the Ln Item section.
    1. If you have multiple different Job codes appearing for the same Dispatch, you can repeat this process as many times as needed.

  1. Navigate to the Job’s Setup menu and check if there is an account listed in the Job flush costs account details field.
    1. If there is, then the dispatch may have posted its value to that Job’s flush account instead of the usual Cost of Sales account show on the sales order line.

Check that the Sales order account hasn't been changed after the dispatch

It is possible that, after the Dispatch was processed, a user modified the accounts shown on the sales order lines. The easiest way to determine if this is the case (and to modify the dispatch posting) is as follows.

  1. Navigate to Accounts receivable > Dispatch and search for the relevant dispatch.
  2. Select Edit, then Update.

This process will force Accentis Enterprise to re-process the Dispatch transaction using the current values within the Sales order lines.
